(“Alen Security,” “we,” “us,” or “our”) is a full-service commercial security integrator founded in 1970, managing virtually every aspect of building security, including IP video surveillance (including advanced video analytics and business intelligence features), access control (including cloud-based access control), security systems (intrusion protection and monitoring), locksmith services, and fire alarm system design, installation, and service (collectively, the “Services”).

This Privacy Policy explains how we collect, use, disclose, and safeguard information about you when you interact with our websites and online services (including https://alensecurity.com, the “Site”), our sales, marketing, and communications activities, our customer onboarding, service delivery, monitoring coordination, support, and field service operations, and our events, surveys, and other business communications.

Please read this Privacy Policy carefully. Your continued use of the Site constitutes your acknowledgment of this Policy. We may update this Policy from time to time; the “Last Updated” date above indicates when it was last revised.

1.  Scope — Who and What This Policy Covers

A.  Who This Policy Applies To

This Privacy Policy applies to information we collect from:

  • Site visitors
  • Prospective customers (including leads and inquiries)
  • Customers and customer representatives (e.g., employees, contractors, and authorized users)
  • Vendors, partners, and business contacts
  • Other individuals who communicate with us

B.  What This Policy Does Not Cover

  • Third-party websites and services that do not link to this Privacy Policy, even if integrated with our Services (see Section 12).
  • Customer internal policies and obligations: Customers are responsible for their own legal obligations regarding notices/signage, consent, workplace monitoring rules, and lawful operation of security systems at their sites.

2.  Key Definitions

  • “Personal Information” / “Personal Data” means information that identifies, relates to, or could reasonably be linked (directly or indirectly) with an individual.
  • “Processing” means any operation performed on Personal Information (e.g., collecting, storing, using, disclosing, analyzing, or deleting).
  • “Customer Content” means data and content processed through security solutions deployed at customer sites, such as video footage, access control logs, alarm events, and related metadata, to the extent it relates to an identified or identifiable individual.
  • “Service Providers” means vendors and contractors that process information on our behalf (e.g., hosting providers, payment processors, CRM systems, marketing communications vendors, analytics providers, and cloud platform partners).
  • “Site” means alensecurity.com and any related web pages or online services that link to this Privacy Policy.

3.  Information We Collect

We may collect the categories of information below depending on how you interact with us and which Services are deployed. Not all categories apply to every person.

A.  Identifiers and Contact Information

  • Name, job title, department, company name, and business contact details
  • Email address, telephone number, mailing/business address
  • Account and customer identifiers (where applicable)
  • Login credentials for portals we provide, if applicable (passwords are stored using industry-standard hashing protections)

B.  Payment Information

If you make payments to us, payment card and banking information is typically collected and processed directly by our third-party payment processors, not by Alen Security. We may receive limited transaction information such as:

  • Billing contact information and invoice details
  • Payment status and transaction confirmations
  • Partial card information (e.g., last four digits), card brand, and tokenized identifiers

We do not intentionally store full payment card numbers, CVV codes, or complete magnetic stripe data on our systems.

C.  Commercial, Contract, and Transaction Information

  • Products and Services requested, purchased, or under consideration
  • Proposal and contract-related details (scope of work, service tiers, locations, system configurations)
  • Service history, appointment details, work orders, inspection documentation, and communications about installations, repairs, and inspections
  • Billing contact details, invoicing records, and account status

D.  Device and System Interaction Data

Because our Services may be accessed through connected devices, networks, controllers, and applications, we may collect:

  • Device hardware model, operating system, version, language, and time zone
  • Device identifiers (where permitted), application identifiers, and configuration data
  • Network connection information (e.g., IP address, network diagnostics, connectivity status)
  • Event logs and diagnostics relating to the operation, performance, and security of systems and applications
  • Browser and device information when you access the Site or web portals

E.  Usage Data (Site, Portals, and Service Interactions)

  • Pages viewed, features used, links clicked, time spent, and navigation paths
  • Form submissions and quote requests (including products and services you inquire about)
  • Communications history (email threads, call logs, text messages, meeting notes)
  • Customer support tickets, troubleshooting history, and resolution details
  • Service scheduling, dispatch notes, onsite access instructions, and technician notes
  • Records of equipment installed, service performed, and follow-up actions

F.  Marketing and Communications Information

  • Subscription status, opt-in/opt-out status, and communication preferences
  • Records of consent and permissions for email and SMS marketing (where required)
  • Engagement data (e.g., opens, clicks, replies), campaign attribution data, and lead/source information
  • Information used to manage multi-channel communications (e.g., suppression lists, frequency controls, and opt-out status)

G.  Customer Content (Video, Access Control, Alarm, and Fire Alarm Data)

Depending on the Services deployed at your site(s), information may include:

  • Video footage, still images, clips, timestamps, and analytics metadata (e.g., object detection events) generated by systems deployed at customer sites
  • Access control events (credential identifiers, door events, schedules, user access levels, and audit logs)
  • Intrusion and alarm events, zone/point status, sensor status, monitoring-related records, and dispatch information
  • Fire alarm system inspection/service records and event logs, where applicable

Important — Role Clarification (Customer Content): For systems installed at customer facilities, our customer generally controls configuration, notices/signage, retention, and permitted uses of video, access control, alarm, and related data. We process Customer Content to provide, support, secure, and improve the Services and as otherwise instructed or authorized by the customer, subject to applicable law and contract terms. Where we act as a “processor” or “service provider” for Customer Content under applicable law, we process such data on behalf of the customer.

H.  Facility and Installation Information

  • Site addresses, facility diagrams, floorplans, network and power requirements, equipment locations, and other details necessary to design, install, monitor, and service security systems
  • Access instructions, safety requirements, and authorized contact lists for onsite support

I.  Identity Verification and Compliance Information

  • Information used to verify identity and authority (e.g., if you submit a rights request or request portal access)
  • Information necessary to comply with legal obligations, licensing requirements, audits, and safety/security procedures
  • Security logs and audit information related to access to our systems and portals

J.  Customer Service and Communications

  • Content of emails, calls, ticket submissions, and SMS communications with us
  • Notes and records associated with support interactions, including call recordings where permitted by law and with required notice

K.  Information from Third Parties

We may receive information from third parties such as:

  • Payment processors (transaction confirmations)
  • Advertising and marketing partners (attribution and lead source information)
  • Analytics providers and social or ad networks (in aggregated or permitted form)
  • Referrals and channel partners
  • Public sources (e.g., business contact information)

L.  Inferences

We may draw inferences from the information above to personalize communications, assess business needs, improve the Site and Services, and measure marketing effectiveness.

M.  Sensitive Information

We do not intentionally request sensitive personal information (such as Social Security numbers, driver’s license numbers, precise geolocation, health information, or biometric identifiers) through the Site. Alen Security does not share sensitive personal information with anyone within or across national boundaries without the explicit, affirmative, written consent of the person to whom it relates. If such information is necessary in limited contexts (e.g., licensing compliance or site access procedures), we handle it in accordance with applicable law, limit its use to what is necessary, and apply more stringent confidentiality and security protections. When sharing sensitive personal information with a third party, we will specifically identify that the information is sensitive in writing, require that the third party limit access to those with a “need to know,” and require the same level of protections as those we apply to “highly confidential” information.

N.  How We Collect Information

We collect information through:

  • Direct interactions — forms, emails, phone calls, onsite communications, contracts, and service requests
  • Automated technologies — cookies, pixels, SDKs, server logs, and similar tools (see Section 7)
  • Service delivery — data generated by systems and service activities, including diagnostics and logs
  • Third parties — as described in Section 3.K above

4.  How We Use Your Personal Data

We use information for the purposes below. Depending on your location and the context, our legal bases may include performance of a contract, our legitimate interests, compliance with legal obligations, and/or your consent (including for certain cookies and marketing communications). All personal data is processed and stored securely for no longer than is necessary in light of the purpose for which it was collected.

A.  Provide, Operate, and Support the Services

  • Provide consultations, assessments, design, installation, commissioning, monitoring coordination, and maintenance/service
  • Respond to inquiries and support requests; schedule and dispatch technicians; manage tickets and service levels
  • Create and manage customer records, work orders, inspection documentation, and service documentation
  • Provide remote management features where applicable (cloud, on-prem, or hybrid), including user provisioning and configuration support
  • Manage warranties, recalls, product/service updates, and safety notices
  • Perform diagnostics, troubleshooting, and performance monitoring (as applicable and authorized)

B.  Communicate with You

  • Send confirmations, status updates, security notices, billing/contract notices, and administrative messages
  • Contact you by phone, email, or SMS regarding appointments, incidents, system status, or account matters
  • Provide customer support and respond to your requests
  • Document communications for quality assurance, training, dispute resolution, and recordkeeping (as permitted by law)

C.  Marketing, Advertising, and Business Development

With your permission and/or where permitted by law, we may use your data for marketing purposes, which may include:

  • Sending marketing communications via email and SMS/text messages (subject to your choices, consent where required, and applicable law)
  • Running online advertising campaigns and measuring performance, including conversion tracking and attribution
  • Conducting remarketing (serving ads to people who previously visited our Site or interacted with our marketing)
  • Building and managing marketing audiences (including lookalike or similar audiences where supported and permitted)
  • Personalizing content, recommendations, and outreach for business customers
  • Managing suppression lists and opt-out lists to respect your choices
  • Conducting market research, surveys, and feedback requests (where permitted)

Marketing automation and multi-channel communications: We use one or more third-party marketing automation and communications platforms to manage campaigns and outreach across channels (email distribution, SMS delivery, lead routing, campaign measurement, and preference management). These providers may use tracking technologies in emails (such as tracking pixels) and on our Site (such as cookies) to help us understand engagement and improve effectiveness, subject to applicable law and your choices. By subscribing to our emails, we assume you are a business user and have an interest in the business content we supply, even if you use a personal email address.

D.  Analytics and Improvement

  • Monitor, analyze, and improve Site performance and user experience
  • Understand which content and services are most useful to customers
  • Debug, test, maintain, and improve systems and processes
  • Develop new products, features, integrations, and service offerings
  • Where enabled and authorized by the customer, support business intelligence and efficient searching using video analytics metadata

E.  Security, Fraud Prevention, and Safety

  • Maintain the security of our Site, networks, and systems
  • Detect, investigate, prevent, and respond to security incidents, fraud, and abuse
  • Use logs and monitoring to protect the availability and integrity of systems

F.  Legal and Compliance Purposes

  • Enforce our agreements and policies
  • Comply with applicable laws and regulations (including licensing requirements and safety standards)
  • Respond to lawful requests and legal process, including subpoenas and court orders
  • Establish, exercise, or defend legal claims

5.  Disclosure of Personal Data

Alen Security does not and will not sell your Personal Data. We may share information as described below.

A.  Service Providers (Processors)

We share information with vendors that perform services on our behalf, such as:

  • Hosting, IT, and security providers
  • Customer relationship management (CRM), ticketing, and support tools
  • Marketing automation, email delivery, and SMS delivery providers
  • Analytics providers
  • Advertising technology, attribution, and measurement partners
  • Professional advisors (legal, accounting, insurance)
  • Subcontractors assisting with installation and service (as needed and appropriate)

These third-party Service Providers are required by written agreement not to retain, use, or disclose your Personal Data other than to provide the services requested by us.

B.  Named Examples of Service Providers

To make our practices more transparent, examples of categories of Service Providers we use include:

  • Payment processors — to process credit card and ACH payments and to support invoicing and reconciliation
  • CRM and customer support platforms — to manage leads, accounts, service tickets, and customer communications
  • Email and SMS communications vendors — to send operational notices and marketing messages and to maintain opt-out records
  • Advertising and analytics providers — to measure Site usage and ad performance and to support remarketing
  • Cloud and managed service platforms related to video surveillance and access control — to host or enable remote management features, event logs, and analytics metadata where applicable
  • Monitoring/dispatch-related partners — where used to support alarm response workflows

C.  Business Partners and Integrations

Where you request, enable, or require integrations (e.g., third-party monitoring, access control, video, or cloud platforms), we may share information needed to provide the integrated Services.

D.  Other Required Disclosures

Regardless of any choices you make regarding your Personal Data, we may disclose information when we believe in good faith that disclosure is necessary to:

  • Comply with applicable law, regulation, subpoena, court order, or other legal process
  • Protect our rights, property, and safety, or that of our customers and others
  • Investigate, prevent, or remediate fraud, misuse, security issues, or credit risk

E.  Corporate Transactions

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, dissolution, or sale of assets, information may be transferred as part of that transaction, subject to applicable law.

6.  Cookies and Tracking Technologies

We and our partners use cookies, pixels, SDKs, tags, and similar technologies (“Cookies”) to operate and improve the Site and to support analytics and advertising.

A.  What Cookies Are

Cookies are small text files placed on your device. Pixels, tags, and SDKs are similar technologies that can collect information about your device and your interaction with the Site or marketing communications.

B.  Types of Cookies We Use

  • Strictly necessary Cookies: required for basic Site functionality, security, fraud prevention, and load balancing.
  • Functional Cookies: help remember your preferences, recognize you between visits, and improve user experience.
  • Analytics/performance Cookies: help us understand Site usage, measure performance, and improve content. We use Google Analytics (see https://policies.google.com/privacy).
  • Geo-targeting Cookies: establish the general location from which you access the Site.
  • Advertising/targeting Cookies: help deliver, personalize, and measure advertising and support remarketing.

C.  Advertising, Online Analytics, and Remarketing

We may work with third parties (e.g., analytics providers, advertising networks, and social media platforms) that use Cookies to recognize your device/browser across sites and sessions, understand how you interact with our ads, deliver interest-based advertising, and measure ad performance and conversions.

D.  Managing Cookies and Preference Controls

You can control Cookies through browser settings (block/delete Cookies), device settings (as applicable), and/or, where offered, our cookie banner/consent tool. If you disable or block certain Cookies, some features may not function properly.

E.  Do Not Track and Global Privacy Control

Some browsers offer a “Do Not Track” signal. Because there is not yet an industry-standard response, we do not respond to all such signals. Where required by law, we honor applicable opt-out preference signals (such as the Global Privacy Control (GPC)) to the extent supported.

7.  No Automated Individual Decision-Making

We do not knowingly collect or process personal data for automated individual decision-making, including profiling, that produces legal or similarly significant effects concerning you without human review.

8.  Data Retention

We retain Personal Information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, including to:

  • Provide and improve the Services
  • Maintain business records, invoices, and audit trails
  • Comply with legal, accounting, tax, and regulatory obligations
  • Resolve disputes and enforce agreements

Retention periods vary depending on the type of information, the context of collection, legal requirements, and operational needs. For Customer Content (such as video footage and access logs), retention is typically controlled by the customer’s configuration and instructions and may also be governed by contract and applicable law. We may retain limited records (e.g., system logs, service records, and support documentation) as needed for legitimate business purposes.

9.  Data Security

We implement administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. Measures may include access controls, least-privilege practices, encryption in transit and at rest where appropriate, secure configuration practices, monitoring, incident response procedures, and vendor risk management.

No security measure is perfect. Therefore, we cannot guarantee absolute security of information. You are responsible for maintaining the confidentiality of any credentials and for securing your own systems and networks.

10. International Data Transfers

A.  U.S. Hosting

The Alen Security Site is hosted in the United States and is governed by United States law. If you are using the Site from outside the United States, please be aware that your personal data will be transferred to, stored, and processed in the United States where our servers are located and our central database is operated. The data protection laws of the United States and other countries might not be as comprehensive as those in your home country.

B.  GDPR / EEA / UK Transfers

Alen Security supports customers nationally and internationally. For transfers of personal data from the EEA, UK, or Switzerland to countries not deemed to provide an adequate level of protection, we rely on appropriate safeguards, which may include the European Commission’s Standard Contractual Clauses (SCCs), and where applicable, the UK International Data Transfer Addendum, and/or other lawful transfer mechanisms recognized under applicable law. We also take supplementary measures as appropriate (e.g., vendor due diligence, contractual controls, access limitations, and security measures).

11. Your Choices and Controls

A.  Email Marketing Choices

You can opt out of marketing emails at any time by using the unsubscribe link in our marketing emails, or by contacting us at [email protected] with your request. Even if you opt out of marketing, we may still send transactional or service-related emails (e.g., appointment confirmations, security notices, invoices, or service updates).

B.  SMS / Text Messaging Choices and TCPA Consent

We may send SMS/text messages for service/operational purposes (e.g., appointment coordination) and, where permitted, for marketing purposes.

Marketing SMS consent: Where required by law (including the U.S. Telephone Consumer Protection Act (TCPA) and related state laws), we will obtain your prior express written consent before sending marketing text messages using an automated system. By opting in, you agree to receive marketing texts from Alen Security at the number you provide.

  • Message frequency varies
  • Consent is not a condition of purchase to the extent required by law

Opt-out: You can opt out of SMS at any time by replying STOP to any message. After you opt out, you may receive a confirmation and then no further marketing texts. You may also contact us using the details in Section 13.

C.  Cookie and Interest-Based Advertising Choices

You may limit certain online tracking and interest-based advertising by adjusting cookie settings via our consent tool (where available) and/or your browser/device settings, adjusting settings on advertising platforms (e.g., Google, Meta), using industry opt-out tools where available, and/or enabling applicable preference signals such as Global Privacy Control (where required and supported).

D.  GDPR / EEA / UK Individual Rights

If GDPR or UK GDPR applies, you may have the right to request access to your personal data, request correction of inaccurate or incomplete data, request deletion/erasure in certain circumstances, object to processing (including direct marketing), request restriction of processing in certain circumstances, request data portability, and withdraw consent (where processing is based on consent) without affecting the lawfulness of processing before withdrawal. You also have the right to lodge a complaint with your supervisory authority.

12. Links to Other Sites

The Site may contain links to third-party websites, plug-ins, or services (for example, partner sites, manufacturer resources, social media platforms, or payment portals). If you follow a link to a third-party site, that third party’s privacy policy will apply. We have no control over, and are not responsible for, third-party privacy practices, content, or security. Please check the privacy policies of any such websites before providing personal data to them.

13. Children

The Site and Services are intended for businesses and adults. You must be at least 18 years old to access or use the Site and have the requisite power and authority to enter into this Privacy Policy. We do not knowingly collect personal information from children under 13 (or under 16 in certain jurisdictions). If you believe a child has provided personal information to us, please contact us and we will take appropriate steps to delete it.

14. U.S. State Privacy Rights

Your rights depend on where you live and how you interact with us. Some rights may be subject to exceptions and limitations under applicable law. To exercise any applicable right, contact us using the details in Section 16 unless a section below specifies a different method.

A.  California Residents (CCPA / CPRA)

California Civil Code Section 1798.83 and the California Consumer Privacy Act (“CCPA”) as amended by the California Privacy Rights Act (“CPRA”) provide California residents with specific rights regarding their personal information.

Sale and Sharing of Personal Information: Alen Security does not sell your Personal Information as “sell” is defined under the CCPA/CPRA. We may “share” certain identifiers and online activity information with advertising partners for cross-context behavioral advertising (e.g., remarketing) in a manner that may be considered “sharing” under California law. You may opt out of such sharing using the cookie/advertising controls described in Section 11.C.

California residents have the following rights:

  • Right of Access: Confirm whether we process your personal information and request access to the categories and specific pieces we hold about you, delivered in a portable and accessible format within 45 days. You may make this request free of charge twice per 12-month period.
  • Right to Deletion: Request deletion of personal information we hold about you, subject to certain exceptions (e.g., where retention is necessary to provide the Services, comply with law, safeguard free speech, or conduct research in the public interest).
  • Right to Correction: Request that we rectify any inaccuracies in the Personal Data we hold about you.
  • Right to Non-Discrimination: We will not deny you goods or services, charge different prices, or provide a different level of quality because you exercised your rights.
  • Right to Opt Out of Sale/Sharing: Use the link above or contact us.
  • Right to Withdraw Consent: Withdraw consent to processing at any time; this does not affect processing already carried out with your consent.
  • Right to Limit Automated Processing: In some circumstances, you have the right not to be subject to decisions based solely on automated processing that significantly affect you and to obtain human review of such decisions.

How to Submit a Request: Submit a verifiable consumer request by calling 877-215-2536 or emailing [email protected]. Your request must contain sufficient information to verify your identity and describe your request in enough detail for us to respond.

14.A.1  Authorized Agents

Only you, or an Authorized Agent registered with the California Secretary of State who you have authorized in writing (or granted power of attorney under the California Probate Code), may file a verifiable consumer request on your behalf. We may require proof of authorization and verification of your identity before fulfilling a request made through an agent. You may also make a verifiable request on behalf of your minor child.

B.  Colorado, Connecticut, Utah, and Virginia Residents

If you reside in Colorado, Connecticut, Utah, or Virginia, you have rights with respect to the personal data that Alen Security collects about you, in addition to those available to California residents. These may include:

  • The right to opt out of the processing of your personal data for purposes of targeted advertising and profiling in furtherance of decisions that produce legal or similarly significant effects (including, for Connecticut residents, solely automated decisions)
  • The right to appeal any decision related to the exercise of your rights under applicable state law

C.  Nevada Residents

Nevada law gives Nevada residents the right to request that a company not sell their personal data for monetary consideration, even if their personal data is not currently being sold. Alen Security does not sell your personal data. If you are a Nevada resident and wish to submit a request, please email [email protected] with the subject line “Nevada Resident Do Not Sell Request.”

D.  New Jersey Residents (NJDPA)

The New Jersey Data Privacy Act (“NJDPA”), effective January 15, 2025, grants New Jersey residents certain rights with respect to their personal data. If you are a resident of New Jersey, the following rights apply to you:

  • Right to Access: Confirm whether Alen Security is processing your personal data and access that data.
  • Right to Correction: Correct inaccuracies in your personal data, taking into account the nature of the data and the purposes for which it is processed.
  • Right to Deletion: Request that Alen Security delete personal data you have provided to us or that we have collected about you.
  • Right to Data Portability: Obtain a copy of your personal data in a portable and, to the extent technically feasible, readily usable format.
  • Right to Opt Out: Opt out of the processing of your personal data for purposes of: (i) targeted advertising; (ii) the sale of personal data; or (iii) profiling in furtherance of decisions that produce legal or similarly significant effects. Alen Security does not sell your personal data.
  • Right to Appeal: If Alen Security declines to take action on a rights request, you may appeal that decision by contacting us using the information in Section 16. We will respond to your appeal within 60 days. If your appeal is denied, you may contact the New Jersey Division of Consumer Affairs at https://www.njconsumeraffairs.gov.

To exercise any of the rights above, please contact us using the methods provided in Section 16. We will respond to a verified request within 45 days. If reasonably necessary, we may extend this period by an additional 45 days and will notify you of the extension within the initial 45-day response period.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The “Last Updated” date at the top of this page indicates when it was last revised. If we make material changes, we will provide notice as required by law and, where appropriate, may send notice via email to an address associated with your account or communications and/or post a prominent notice on the Site before the changes take effect. Your continued use of the Site and Services after the effective date of an updated Privacy Policy constitutes your acknowledgment of the updated Policy, to the extent permitted by law.

17. Legal Disclaimer

This Privacy Policy is provided for general informational purposes and describes our privacy practices. It does not create a contractual right for any person, does not modify any agreement you may have with Alen Security, and does not constitute legal advice. Our obligations regarding customer data processed in connection with the Services may also be governed by applicable contracts, service terms, and customer instructions. In the event of a conflict between this Privacy Policy and a written agreement with a customer, the written agreement will control to the extent permitted by law.
